“How many days does it record?”
It sounds like a simple CCTV question.
It is not.
Recording time depends on camera count, resolution, frame rate, compression, scene activity, recording mode, hard drive size and the way the client actually uses the footage. A small home system and a large commercial site cannot be treated the same way.
If retention is guessed, the client may discover the problem only after an incident.
They go back to find footage from last week.
It has already been overwritten.
That is not a recorder problem. It is a design problem.
Camera count is only the starting point
The more cameras you record, the more storage you need.
But camera count alone does not tell the full story.
A 4MP camera recording a quiet storeroom is very different from an 8MP camera watching a busy loading bay all day. A camera pointed at trees, traffic, rain, reflective surfaces or constant movement can consume more storage than expected.
Resolution matters.
Frame rate matters.
Compression matters.
Motion matters.
For professional CCTV installation, recorder storage should be calculated with the real environment in mind.
Not every camera needs the same recording settings
Some cameras need maximum detail.
Others need context.
A gate camera, cash office camera, loading bay camera or evidence camera may need higher quality settings. A wide overview camera over a quiet area may not need the same frame rate or bitrate.
Good design applies settings intelligently instead of treating every camera identically.
This can improve retention without compromising the cameras that matter most.
Businesses need retention matched to process
Commercial clients often need footage for more than security.
They may need to investigate:
- stock movement,
- delivery disputes,
- staff incidents,
- vehicle damage,
- access events,
- cold-store loading problems,
- operational disagreements.
Those issues are not always discovered the same day.
If a dispute only reaches management several days later, the system must still have the footage. That means retention should match the business process, not only the installer’s default hard drive size.
On larger sites, networking infrastructure also matters because cameras, switches, cabinets and recorders all form part of the recording chain.
Motion recording can help, but it is not magic
Motion recording is useful where appropriate.
But it should not be treated as a cure for poor storage planning.
Busy areas may record almost constantly. Trees, rain, reflections, insects, lights, shadows and traffic can trigger motion. Some environments are simply not suitable for relying too heavily on motion to save storage.
If an event is missed because motion rules were too aggressive, the storage saving was not worth it.
The design should balance retention, evidence quality and risk.
Retention should be explained during quoting
A CCTV quote should not only list cameras and a recorder.
It should explain the recording expectation:
- approximate number of days,
- assumptions behind that estimate,
- camera count,
- resolution,
- quality settings,
- whether recording is continuous or motion-based,
- whether future expansion will reduce retention.
This helps the client understand what they are buying.
It also avoids the common situation where extra cameras are added later and nobody explains that recording days will reduce unless storage is upgraded.
Test retrieval before relying on retention
Recording days only matter if the footage can be found.
Camera names, date and time accuracy, app access, user permissions and export training all affect real-world usefulness. A system that keeps thirty days of footage but nobody knows how to retrieve it is still poorly handed over.
That is why support and maintenance should include more than checking whether the cameras are online.
The recorder should be healthy. The clock should be correct. Storage should be reporting properly. Export should be tested. Users should know who has access.
Design storage for the incident you hope never happens
CCTV storage is not exciting.
It sits quietly in the recorder until something goes wrong.
Then it becomes one of the most important parts of the system.
A professional CCTV design should decide retention deliberately. It should match the property, the business, the camera purpose and the risk.
Because when the client needs footage, the answer should not be, “It was overwritten yesterday.”
