A projector quote that only lists a projector is usually not a complete AV quote.

The projector is the part everyone recognises, but it is not the whole system. The experience depends on the screen, source connection, audio, cable route, mounting position, control method, power protection and whether the system can be serviced later.

I have learnt to ask those questions early because the missing items are usually the ones that cause frustration after installation.

The screen is part of the projector system

A projector needs a surface.

That could be a fixed screen, motorised screen, painted projection surface or existing wall. Each option changes the final result.

Screen gain, size, height, aspect ratio, wall colour, ambient light and viewing distance all matter. A projector can be specified correctly and still look poor if the screen decision is wrong.

For halls, training rooms and larger boardrooms, I want to know who sits at the back and what they need to read.

Audio decides whether people stay engaged

Many projector installations fail because the picture is treated as the whole project.

If people cannot hear clearly, the system fails.

That is especially true in school halls, training rooms, churches, hospitality venues and large meeting spaces. Speech clarity, microphone handling, feedback control, speaker position and source audio all affect the result.

Sometimes the existing sound system can be reused. Sometimes it needs repair. Sometimes it needs to be replaced. But it should at least be checked before the projector quote is final.

The source point must be practical

Where will the laptop plug in?

That question sounds small, but it affects the whole installation.

If the laptop is at the front, the cable route is different from a control desk at the back. If visitors bring different devices, the room may need HDMI, USB-C adapters, wireless presentation or a fixed media player. If the projector is far away, a long HDMI cable may not be reliable enough.

This is where AV installation becomes signal-path planning.

The source, cable, extender, receiver and display all have to agree with each other.

Long cable runs need the correct transport

HDMI is not magic.

Over longer distances, the installation may need HDBaseT, fibre, active cabling or a proper extender system. The best option depends on distance, resolution, refresh rate, conduit size, service access and budget.

If the cable path is guessed, the client may end up with intermittent picture loss, handshake problems or a system that only works with some laptops.

I would rather make the cable path boring and reliable than fight intermittent faults later.

Control should match the people using the room

A projector room can be controlled in several ways.

It may use the projector remote, a wall controller, a source switch, a control processor, a touch panel or a simple labelled input plate.

The right answer depends on the room.

In a school hall, the person using it may not be technical. In a boardroom, staff may need one-button meeting modes. In a cinema, the projector may form part of lighting, audio and source automation.

Control should reduce decisions, not add more.

Mounting and service access are not afterthoughts

The projector position affects image size, keystone, lens shift, throw distance, fan noise, heat, cabling and maintenance.

If the projector is mounted too high without service access, every small issue becomes difficult. If it is mounted too close to seating, fan noise can become irritating. If it is mounted without thinking about the screen, the image may need correction that should have been avoided physically.

Good AV work starts with position.

Power protection should be included

In South Africa, I do not like sensitive AV systems running without proper power consideration.

Projectors, HDMI extenders, processors, source devices and audio equipment do not enjoy dirty power, sudden shutdowns or unstable inverter transitions.

At minimum, the quote should discuss protected power for the relevant equipment. In more serious rooms, an online double-conversion UPS may be justified for the rack or signal chain.

The extra cost is often small compared with the inconvenience of failures during an event.

What a proper projector quote should include

A proper quote should answer:

  • what projector is being supplied,
  • what screen or surface is being used,
  • where the projector will be mounted,
  • how the signal gets to the projector,
  • what audio system is used,
  • where the laptop or source connects,
  • how users control the room,
  • how equipment is powered,
  • what maintenance access exists,
  • and what handover the client receives.

That is the difference between buying a projector and installing an AV system.
