When a CCTV system stops working, the first assumption is usually that the camera has failed.

Sometimes that is true.

Often it is not.

On real sites, CCTV maintenance is rarely as simple as “replace the camera.” The fault may sit in a cable, a connector, a PoE switch, a power supply, an NVR, a hard drive, a router, an app account, a password, a changed IP address, a dirty lens or a recorder that has quietly gone offline.

That is why professional CCTV support needs patience and method.

The first question is what changed

Good fault finding starts with context.

Did the internet router change? Was there a power failure? Did someone install fibre equipment? Did a phone get replaced? Did an app update? Was a camera moved? Did another contractor work in the rack? Has the system recently had load shedding, electrical work or a network change?

Those questions matter because CCTV sits inside a chain of dependencies.

A client may say, “I cannot see my cameras.”

That can mean many things:

  • the app cannot connect remotely
  • the NVR is offline
  • the recorder has the wrong network settings
  • the router has changed
  • the account is bound incorrectly
  • the recorder is powered off
  • the hard drive has an issue
  • one switch has failed
  • one camera has failed
  • the camera is online but using the wrong password
  • playback is failing even though live view works

The wording of the complaint is the starting point, not the diagnosis.

Offline cameras are often power or network faults

With IP CCTV, cameras commonly receive power through PoE.

That makes the installation cleaner, but it also means camera faults can be caused by the equipment feeding them. A camera offline may be:

  • a failed camera
  • a faulty cable
  • a bad termination
  • a failed PoE port
  • an underpowered switch
  • water ingress
  • a disconnected patch lead
  • a network address problem
  • a camera password mismatch

On larger sites, one switch can affect a whole group of cameras. On estate homes, an outbuilding, gate or garage cabinet may feed cameras that are far from the main rack. On older analogue systems, BNC connectors and DVR inputs can create their own problems.

This is why the support technician must know how the system was built. If the rack is labelled and the camera routes are documented, the fault can be isolated far faster.

App problems are often handover problems

Many CCTV support calls begin with the phone.

The client has a new phone. The app no longer shows cameras. The NVR asks for a verification code. The recorder is already linked to another account. A password was changed. The client can see live view but not playback. The wrong software is installed on a computer. A mobile app update changes the user flow.

These are not glamorous problems, but they are real.

A professional CCTV installation should leave the client with clear ownership:

  • which app is used
  • who owns the account
  • how authorised users are added
  • where recorder details are stored securely
  • what happens if a phone is replaced
  • who handles unbinding or account transfer
  • how remote access is supported

If that handover is weak, the system can become difficult to administer even when the hardware is fine.

This is especially important for Hikvision and Dahua-style systems where recorder binding, mobile accounts, local passwords and remote viewing can all interact.

Playback depends on more than recording

Live view working does not automatically mean playback is healthy.

Playback can fail or become frustrating for several reasons:

  • wrong time or date on the NVR
  • hard drive faults
  • storage overwritten too soon
  • incorrect recording schedule
  • motion settings not matching expectations
  • software not seeing the recorder
  • slow network connection
  • user permissions
  • recorder offline in the viewing software

Time accuracy is more important than many clients realise. If the recorder time is wrong, finding an incident becomes difficult. A client may search the correct real-world time and find nothing because the recorder is hours out.

Storage also needs realistic planning. If the system records too many cameras at too high a rate for the available drives, important footage may not be retained as long as expected.

That is why proper CCTV design should discuss recording and retention before the system is installed.

Dirty lenses and physical access still matter

Some faults are beautifully simple.

The lens is dirty. A spider web is in front of the camera. Salt air has affected the housing. A bracket moved. Landscaping grew into the view. A camera is aimed slightly wrong after maintenance work. A water issue has developed around an exterior entry point.

These are normal site realities, especially in coastal KZN and large estate properties.

The lesson is that maintenance access matters.

If cameras are mounted where they cannot be reached sensibly, small problems become expensive. If a camera is too high, it may also capture poor identification footage. If no thought was given to cleaning, adjustment and replacement, the client pays later.

The best mounting position is not always the highest point on the building. It is the position that gives the correct view, protects the camera reasonably and still allows future service.

Old systems need a different mindset

Not every CCTV system is new.

Many support calls involve inherited systems, older DVRs, mixed camera generations, analogue cabling, unknown passwords, undocumented routes, old hard drives, missing app details and equipment that has been changed by several people over the years.

In those situations, the first job is not to sell a new system.

The first job is to understand what still works.

Sometimes a DVR can be replaced to restore app support, but the picture quality will still be limited by the old cameras. Sometimes the cameras must be upgraded because the client needs better image quality. Sometimes the cabling is usable. Sometimes it is not. Sometimes an NVR is fine but the network around it is weak.

This is where honest advice matters. A client should understand what a repair will improve and what it will not.

Maintenance should improve the record

Every service call should leave the system easier to understand.

If a technician finds a wrong password issue, an offline NVR, a failed PoE port, a dirty lens, a bad connector or a camera with an incorrect IP address, the support record should be updated.

That record helps next time.

A good maintenance approach should improve:

  • camera naming
  • app access notes
  • NVR details
  • switch and port records
  • password custody
  • fault history
  • replacement history
  • cable labels where practical
  • client instructions

That is the difference between fixing a fault and improving the system.
