A handover is more than showing the client that the display turns on. It should leave enough information for staff and future technicians to use and support the room.

User information

Staff should learn how to start the room, join a meeting, present content, select sources, adjust audio and end the session. The guide should match the actual labels and controls.

Technical information

The client should receive equipment records, cable labels, signal paths, network dependencies, power information and any agreed limitations. The record should identify what requires AV support and what belongs to IT or facilities.

Test results and open items

Record the workflows that were tested and any work that remains outside the completed scope. This prevents an unfinished item from being mistaken for a hidden fault.

A useful demonstration

The people who operate the room should use it during handover. Their questions often identify an unclear step before the room enters daily use.
