Tag access control sounds simple.

Put a reader at the door, give staff tags, and the door opens for the right people.

In practice, a proper office access-control system has more decisions than that. The reader is only the visible part. The door hardware, power supply, emergency release, exit button, intercom, cabling, controller, user database and CCTV coverage all affect whether the system is safe and practical.

I prefer dealing with those details before the installation starts.

The door decides the hardware

Not every office door should be controlled in the same way.

A glass aluminium door, timber office door, steel gate, pedestrian entrance and internal staff door may all need different hardware.

The access-control design should consider:

  • whether the door opens inward or outward,
  • whether it needs a maglock or electric strike,
  • whether it has a closer,
  • whether fire escape rules apply,
  • whether visitors use the door,
  • whether the door must release from reception,
  • and whether the door must remain secure after hours.

If the hardware is chosen casually, the system can feel awkward or become unreliable.

Tags are convenient, but management is the real system

The value of tag access is not only that people stop carrying keys.

The value is that access can be managed.

Staff can be added. Staff can be removed. Lost tags can be disabled. Access can be limited by door, time or role. Events can be checked later if there is a dispute.

That only works properly if the handover is clear.

The client should know who can create tags, who can delete tags, what the naming convention is, and who owns the admin credentials.

I do not like systems where everyone uses a shared login and nobody knows who changed what.

Exit buttons and emergency release matter

Access control must never only be designed from the outside of the door.

People also need to leave safely.

Depending on the door and site, the system may need a request-to-exit button, motion exit, emergency break-glass release, door contact or fire-interface consideration.

These are not decorative extras. They affect safety and compliance.

The door must be secure, but it must also behave sensibly when people need to exit.

Intercoms change the design

If visitors arrive at the first door, the access-control system may need to work with an intercom.

That raises more questions:

  • who answers the call,
  • does it ring reception, a phone app or multiple users,
  • can the door release remotely,
  • does the camera view confirm the visitor,
  • what happens after hours,
  • and does the system rely on internet access?

An intercom should not be bolted onto the design at the end. It affects wiring, power, network, door release and the user experience.

CCTV should cover important access points

Access logs are useful, but they do not replace camera views.

If a tag is used, the business may still want to see who entered. If a visitor is buzzed in, the business may want a record of the person at the door. If a door is forced or held open, a camera view helps explain the event.

That is why I like planning CCTV and access control together.

The two systems answer different parts of the same question.

Backup power should be discussed

In South Africa, access control needs a power conversation.

What happens during load shedding? What happens when the inverter changes state? What happens if the power supply fails? Does the lock remain secure? Does the door release safely? Does the controller keep event logs?

The correct answer depends on the door, the risk and the building.

But the question must be asked before the job is installed.

A small office still deserves a professional handover

Even a two-door office system should have a proper handover.

At minimum, the client should know:

  • where the controller is,
  • where the power supply is,
  • how to add and remove users,
  • who has admin access,
  • what the door release procedure is,
  • what to do when a tag is lost,
  • what happens during power failure,
  • and who to call for support.

This does not need to be complicated.

It just needs to be written down.
